Appalachian State University’s Women’s Club Volleyball Constitution for 2016-2017 School Year
Preamble: The volleyball club will provide the opportunity for a competitive atmosphere for women interested in playing the sport of volleyball, will enhance communication among other volleyball teams, and will provide an organized structure to the Appalachian State Women’s Volleyball Club.
Article I: Name
This organization shall be hereafter known and referred to as the Appalachian State Women’s Volleyball Club (A.S.W.V.C.)
Article II: Membership
Section I. All females who have paid tuition and are currently enrolled in Appalachian State University as full-time students, shall be eligible to become active, voting members and be eligible to hold office in A.S.W.V.C. However, to become president of A.S.W.V.C, a member has to be on executive board for a semester and be voted in by active, voting members.
Section II. Any eligible person who attempts to attend all planned practices, meetings, tournaments and events shall be considered an active, voting member of this organization for that semester. However, after missing two unexcused practices before a tournament (per tournament) will have to partake in a condition session (5-10 minutes long). This conditioning plan will be made up by executive board for that year. If the practice is excused (decided by executive board), club member will not have to partake in conditioning. If player misses more than 3 practices before a tournament (missed practices restart after every tournament) that club member will not start first match. If player misses more than 5 practices, said player will not be allowed to play first game. After seven missed practices executive board will have a talk with the player to see what further steps need to be taken.
Section III. Any person who seeks and is eligible for membership will be required to pay semester dues if deemed necessary by the noted club officers and the Club Sports Supervisor. This fee, along with any grants for the club will help cover the cost incurred by the organization. These funds will be used only for club related expenses. The A.S.W.V.C. executive board will be in charge of collecting, recording, and keeping track of these fees.
Refund Policy: If participant fills out MIC form, pays semester dues (to be decided each year by executive board), and competes in first tournament, said player will not receive a refund. However, if player does not compete in first tournament, player is eligible for a refund.
Article III: Office
Section I. The officers of A.S.W.V.C. shall be President, Vice President, Secretary, Treasurer and Club Council Representative. The President’s responsibilities will consist of overseeing all A.S.W.V.C. activities and meetings. The Vice President shall be responsible for assisting the President in her responsibilities and activities. The Secretary shall be responsible for documenting all information discussed at A.S.W.V.C. meetings as well as communicating with club members outside of formal meetings. The Treasurer shall be responsible for all financial information involving A.S.W.V.C. The Treasurer shall also be responsible for collecting the necessary fees required. These fees must also be recorded for each said payment. Club Council Representative shall be responsible for attending/representing A.S.W.V.C. at all club meetings and report necessary information the rest of the executive board members and active members.
Section II. The officers shall be elected by a simple majority vote of the acting, voting members present at the last general business meeting of the Spring semester. A simple voting process will be held to elect officers for the upcoming school year.
Section III. The term of office for these officers shall be one calendar year from the date of the first calendar year of the fall semester. That being said, if a player plans to run and is graduating in the Fall semester, we ask that said player does not run, however we cannot deny them from running.
Section IV. Any officer may be removed from office by two-thirds vote of the active and voting members present at called meetings. Announcement of said meetings will be 5 days to one week prior to the meeting date.
Section V. In the event of the removal of an officer, or in the event of any officer resigning, the executive board has 2 weeks to a month (depending on if it happens in the school year or on a university break) to decide to call an election or keep current executive board (if there are enough members without said officer resigning). If an election is called, a new officer will be elected by a simple majority vote of the active voting members present at said meeting.
Article IV: Bylaws
Section I. Meeting times and places will be established at least 5 days prior to the time of said meeting. Meetings may vary time, day, and place.
Section II. Taking Article II, Section I into consideration, the coach/sponsor, President, and Vice President shall have the power to decide the traveling competing team. They A.S.W.V.C. will be competing as a “club team” during the fall semester and a U.S.V.B.A. team during the spring semester. The traveling team will be chosen on the basis of reliability, practice performance and all around loyalty to the team.
Section III. During matches/games and tournaments, all members of A.S.W.V.C. shall follow the standards of etiquette and conduct that the sport represents. Poor sportsmanship will be highly discouraged by this organization and will be grounds for demotion by A.S.W.V.C. and Club Sports. A.S.W.V.C. will handle poor sportsmanship by holding meeting with said players. If bad sportsmanship, the executive board will decide a conclusion in case of an event.
Article V: Ratification of Constitution
This constitution shall be in effect immediately upon club acceptance and ratification by a majority vote of acting, voting members of A.S.W.V.C.
Article VI: Additional Amendments
This constitution may be amended by a simple majority vote of active, voting members of this organization.
